Accommodation

Block accommodation bookings have been arranged at the The Breakwater Lodge, The Commodore Hotel and the Portswood Hotel; all of which are within walking distance of the conference venue.

1. All rates quoted include VAT at the prevailing rate of 14% but exclude 2% government room levy.
2. Accommodation will be allocated on a first come first serve basis. 
3. A deposit covering one nights’ accommodation (on an individual basis) or your credit card number is required to secure your reservation at the hotel.
   The accommodation reservation form must be returned as soon as possible (before 12 October 2012 at the latest!) to the hotel.  After this date, block reservations will be released.
   
4. Should you book accommodation telephonically, please remember to mention that you are booking for the ICAN 2012 Congress.  Should you fail to do this, the hotel might inform you that they are fully booked. 
5. The hotel will confirm your accommodation reservation directly with you. 
6. Please familiarize yourself with the Terms and Conditions and accommodation cancellation policy as stipulated by the hotel.  
7. Transfers to and from the airport can be organised directly with your Hotel. (Add contact person name for transfers)

Reservation Policy:
Bookings must be made directly with the Protea Hotel Breakwater Lodge.  Click here for booking forms and return to eldine@bwl.co.za or fax to +27 (0)86 589 1966 .  All bookings need to be guaranteed with full credit card details. A pro-forma invoice will be sent for payments via bank transfer.  Please use ICAN 2012 as reference on all enquiries and your reservation number for bank transactions and proof of payments. Confirmation letters will be sent to delegates when the booking is guaranteed with full credit card details or full payment.
Cancellation Policy:
Should a reservation be cancelled less than 24h from the date of arrival, a cancellation fee of the rate applicable for one night’s accommodation and all levies will be charged.
In the event of an in-house GUEST checking out prior to the guaranteed departure date; the hotel reserves the right to charge for the full duration of the original booking.
Please note that all cancellations are to be made in writing and proof of the cancellation is required before processing refunds.
